NOTICE OF ANNUAL GENERAL MEETING to be held on November 13th at 7:30pm at the ANZA Club, 3 West 8th Avenue, Vancouver, BC.
BCMC 2018 AGM Agenda – November 13th, 2018
1.    Elect a chair, if required (Wilson Edgar, President) 
2.    Determine that there is quorum (Membership Desk)
3.    Adopt rules of order (Robert’s Rules) 
4.    Approve the agenda
5.    Approval of the Minutes of the 2017 BCMC AGM and any intervening general meetings (No Intervening Meetings)
6.    Consideration of the report of the Board on its activities and decisions since the last AGM
7.    Presentation of (Receive) the financial statements for the previous 2017 financial year
8.    Elect directors (See Appendix a.)
9.  Business arising out the financial statements, the auditor’s report, the report of the Board, and any matter about which notice has been given in the notice of the meeting
10.                Adjournment.

We are extremely pleased to announce the creation and launch of our first formal nomination form and system for the upcoming November AGM Elections/Board Positions.  The form also allows for any member to submit and express their interest to volunteer for this wonderful club in any way of their choosing.  This year, the BCMC BOD has decided to expand next year's board from 9 to 17 directors, which is now supported under the new 2017 BCMC constitution (this motion will be made at the November AGM).  Our club is growing, and simply put, the current board of 9 is not enough to keep up with the needs of the club and to avoid director and volunteer burnout.

ANNUAL GENERAL MEETING HOSTED BY BCMC
The BCMC is hosting this year's FMCBC AGM over the weekend of May 27-29, 2016. We are looking for volunteers to help arrange and transport food/drinks for the Friday evening Meet and Greet, as well as for breakfast and lunch for the Saturday all-day meeting at UBC.   For the M&amp;G, if the weather is good we will meet at Locarno Beach. This should be similar to the BCMC's August BBQ's that have been held there in the past, often well run by Kevin.  If the weather is bad we will meet at Brian Wood's house in UBC (we’ll make the call on Wednesday evening and notify attendees Thursday morning). Some FMC directors will have driven in from the Interior and will be tired and need feeding. I understand there is a BCMC budget item for this.  For the M&amp;G the BCMC will provide a potluck evening meal, plus snacks and drinks. Brian will provide a table, a BBQ stove and twin burner Coleman Stove for cooking, a pot of chilli but we will also need bread rolls, burgers, hot dogs, salads, fresh and perhaps cooked vegetables, and drinks such as coffee, tea, pop etc. If the event is held at Locarno, it will necessarily be a liquor-free event. If you have useful picnic stuff, e.g. tables, chairs, BBQ stove, cooking stuff, cups, plates, KFS, etc., please bring them to help folks relax and enjoy themselves and to reduce use of disposables.
For Saturday breakfast we need volunteers to buy from the local stores trays of snacks, fruit and muffins to deliver to UBC before 9:00 a.m. (There is a Save-on-Foods on campus that can be ordered from with 48 hours notice, as well as an IGA near 4th and Alma). Coffee and tea will be needed somehow, but there is a kitchen and servery adjacent the meeting room which will be the AMS OLD SUB Party Room. For lunch we need volunteers to make or buy sandwiches, cut up fruit and vegetables, cakes, muffins etc. for delivery to UBC by noon. The BCMC will host the Annual General Meeting of the Federation of Mountain Clubs of British Columbia (FMCBC) on the weekend of 28/29 May 2016.   Ben Singleton-Polster and Brian Wood (BCMC’s co-directors of the FMCBC) are looking for the following help:
 
 
 
 
1.    3 or 4 volunteers to help plan and / or organise this event.
 
Tasks:  
 
-       Arrange breakfast and lunch for Saturday meeting
-       Organize billets.
-       Event Organization/Coordination
 
2.  Billets for about 20 directors for the nights of Friday and Saturday (27/28 May) of various member clubs from around the province.  The main events of the AGM will take place on the west side of Vancouver, so billets located in the City of Vancouver are preferable. The FMCBC pays for and provides a light breakfast and lunch for directors attending the AGM on Saturday, however, it is usual for the billet hosts to provide breakfasts for their guests on Sunday morning.
 
3.  Activities for our guests:
      Local Entertainment for Saturday after 4:00 PM        
      1) About 6.00 pm.  Restaurant meal (covered by attendees)
      2) About 8.00 pm. Lecture, slide presentation, etc. (presenters and suitable location needed for the latter two)
 
            Outdoor Activities (i.e. Hikes, nature walks of various lengths)
            - Saturday-Hikes of various levels and lengths (for weekend attendees not participating in the AGM) 
            - Saturday- Post meeting walk (close to AGM venue) from about 4:00pm-5:30pm
            - Sunday - Hikes of various levels from 8/9:00 am – 12:00pm
**Our deadline for finalizing these arrangements is 1 March 2016**

At the meeting, one Special Resolution will be put to the Membership for debate and voting upon.  For a Special Resolution to pass, 75% of the voting Members present at the meeting must vote in favour of the Special Resolution and a quorum of 25 Members must be present.  The Special Resolution is to authorize the spending of up to $50,000.00 on the construction of a Hut at Watersprite Lake near Squamish.

In addition to the Special Resolution Vote the AGM will include:
Financials: The 2014/15 Financial reports from the Executive volunteers will be submitted followed by a presentation of the 2014/15 BCMC Financial statement to be approved by the membership.
Executive Election: The names of club members running for Executive volunteer positions will be put forward and voted on as a group. In the rare instance an election is called, voting ballots will be provided and cast.

The goal of these changes is to help clarify the add-ons available for members and to make it clearer for members how to purchase a Mountaineer while not receiving print newsletters. The costs more directly reflect production costs of both print publications, although both are still subsidized by the club. These changes will not produce changes for most members who do not receive printed publications. Furthermore, by allowing prepayment for The BC Mountaineer, we'll be able to better gauge how many journals to print for members.
